Arrange serving: several weeks at once, drag to swap

This guide is for whoever plans the schedule: admins, office staff, and service or ministry leads. Opening one week at a time is slow. Arrange serving puts several weeks in one table, so you can do it all in one go.

Open “Arrange serving”

Go to Schedule and tap the table icon at the top right. That’s Arrange serving.

  • Each row is a day, and each column is a role. If there are a lot of roles, swipe sideways to see the other columns.
  • Switch between services at the top, such as Sunday Service and Youth Service.
  • It opens on the first month that still has open spots. To see earlier months, tap Show earlier months. As you scroll down, later months keep appearing, up to the same month next year.

Ministry leads can only change their own ministry’s roles. The other columns still show, so you can see the whole picture.

Schedule people

Tap a cell to bring up the list of people:

  • At the top are people who have served in this role, with how many times they’re already scheduled this month and anything else they’re doing that day, so no one gets scheduled too often.
  • Below them are the other team members. You can also search by name.
  • For roles that take one person (like Host or Piano), tap a name and you’re set. To schedule two or more people, tap Add another person, make your picks, then tap Done.

Swap two weeks

Press and hold a cell, drag it to another week of the same role, and let go. The two weeks’ people swap places. Made a mistake? Tap Undo.

You can also tap a cell, choose Swap with another week in the list of people, then pick the week to swap with.

Tap “Done” when you’re finished

Changes you make here don’t notify anyone right away. When you’re finished, tap Done at the top right. Everyone added or removed gets one notification, not one for every cell. Every service you switched to is included.

  • If you tap Done after 10 p.m., notifications wait until 7 a.m., so no one gets woken up in the middle of the night.
  • If you leave without tapping Done, the Schedule reminds you that People put on or taken off here haven't been notified. Tap Notify to send them.
